By the end of this guide, you'll have Otter.ai set up to automatically record and transcribe your client meetings. After each meeting, you'll paste the transcript summary into ChatGPT and get a clean, structured CRM entry in under 2 minutes — instead of spending 15–20 minutes writing notes from memory.

What you should see: Your Otter.ai dashboard — a clean interface with a large record button.
Troubleshooting: If you want more minutes, the Pro plan ($16.99/month) gives unlimited recording. Most advisors can work with the free tier by recording only their most important planning meetings.
What you should see: The app shows your recent conversations and a large blue record button.
Before every recorded meeting, say:
"I use a transcription tool during meetings so I can focus on our conversation instead of taking notes. Is it okay if I record today?"
Most clients agree immediately. If they prefer not to be recorded, take notes manually and use ChatGPT to expand them afterward (same workflow, no recording needed).
To start: Tap the large Record button in Otter. You'll see a live transcript appearing in real-time as you speak.
What you should see: The screen shows your words appearing in real-time with timestamps.
Don't change how you conduct the meeting. Otter captures everything — questions, answers, and any numbers discussed. After the meeting, tap Stop.
What you should see: Otter saves the recording and processes the transcript. This takes 1–3 minutes for a one-hour meeting.
Otter automatically generates a summary at the top of your transcript. Look for:

Copy Otter's summary and paste it into ChatGPT or Claude. Then type:

2. What was discussed and decided
3. Action items with owner (advisor vs. client)
4. Next steps and scheduled follow-ups

Open your client's record in Redtail or Wealthbox. Go to the Notes or Activity Log section. Paste the AI-formatted note, review it quickly for accuracy, and save.
What you should see: A professional, complete meeting record — the kind advisors rarely take the time to write but always wish they had.
After any planning meeting:
Convert this Otter.ai meeting summary into a structured CRM note including: client financial snapshot, topics discussed, decisions made, action items with owners, and next scheduled contact.

Write a brief CRM note from these bullet points: [your quick notes]. Format as a professional activity log entry. Include date, purpose of call, and any commitments made.
After a seminar:
I just finished a retirement income seminar. Write a post-event activity log entry and create individual follow-up tasks for these attendees: [names and brief notes about each person].
For compliance documentation of a meeting:
Based on this meeting transcript, list: 1) all financial products discussed, 2) the client's stated goals and risk tolerance, 3) any suitability concerns that were addressed. This is for compliance documentation.
